Settings is where you manage the organization itself: its name and customs identifiers, your team, brands, your plan, API tokens and webhooks. Printers are not here. They have their own item in the sidebar. This walkthrough follows the screens in order. For every field, see Settings and the how-to pages linked below.

Open Settings

Settings is not in the main sidebar. Click the organization switcher at the bottom of the sidebar (your organization’s name), then click Manage. Settings opens on the Organization tab. Invite team members in the same menu goes straight to the Team tab.

Open the organization switcher, then Manage - or Invite team members to go straight to Team

The same menu lists every organization you belong to under Switch organization. At the bottom you see your plan (here Pro) and how many shipments you have used this period. The small Manage next to the plan also opens Settings. See Switching organizations. If your organization has brands, a brand picker also appears at the top of the sidebar, with All brands, each brand and Manage brands. It appears once you have created your first brand.

Settings tabs

The page is called Settings. The tabs, in order: Shipping rules and printers are not Settings tabs. They are Shipping rules and Printers in the sidebar.

Organization

Organization settings is the first section. Change Organization name (shown in the organization switcher) and, if you like, a Description.

Fill in the customs identifiers your business has. Zippendo adds them to your international shipments:
  • VOEC
  • EORI
  • SPRN
  • IOSS
  • FDA
  • DUNS
Click Save when you are done. Scroll down for Branding (logo, Primary color, Secondary color, on Growth and higher) and Data export. Branding puts your logo and colors on packing slips and invoices. Data export downloads a copy of your organization’s data: company and team member details, shipments and orders, and your integration setup. Credentials are never included. Click Request export, and Zippendo emails you when the file is ready. More: Organization settings, Organization branding, Export organization data.

Team

Open Team (or click Invite team members in the organization switcher). The page has three parts: Custom roles, Invitations, and the team list below them.

Custom roles

A custom role is a name plus a set of Read and Write permissions. Every team member can do the daily work whatever their role. Roles decide who can manage the organization: Edit organization lets someone change organization settings, branding and brands, and Edit everything also lets them manage roles and team members. Click Create role

Click Create role, or Create your first role when you have none yet.

Name the role and pick permissions

The Create custom role window opens. Fill in Role name * (for example “Shipping manager”). Description is optional. Tick the permissions, or click Select all.

You can Edit or Delete a role later. Deleting a role takes it away from everyone who has it.

Invite someone

Under Invitations, in the Invite new team member row:

Enter the email

Type your colleague’s address in Enter email address.

Pick a role (optional)

Select role (optional) gives them a custom role when they accept. Leave it empty and they join with No role.

Click Invite

They get an email and show as Pending until they accept.
If your organization has brands, you also see Restrict the invitee to a brand. The restriction is strict: they only see that brand’s data, cannot switch brand and cannot manage brands. Keep No brand (organization-wide) for people who should see everything. To cancel a pending invitation, click Revoke invitation on its row.

Team members

The team list shows everyone with Name and email, Role and Status (Active or Pending). Your own row says You. You cannot change your own role or brand restriction, or remove yourself. To change someone’s role, pick a new one in the Role column. If you have brands, you can also change Restrict to brand there. To remove someone, click Remove team member on their row, type DELETE and click Remove. They can no longer open this organization. More: Invite team members, Team and invitations.

Brands

A brand is a separate shop or label inside your organization. Each brand keeps its own orders, shipments and document branding, with one team and one bill. Brands are included on Pro (up to 5) and Enterprise (unlimited). On other plans the tab is visible but locked.

Open Settings → Brands

Click Create your first brand, or Add brand at the top if you already have some.

Name it

The New brand window opens. Enter the Brand name. The Slug is filled in from the name. It must be unique in your organization, developers use it in API calls, and you cannot change it later.

Zippendo opens the new brand’s page. Fill in Invoice details, Address, Customs identifiers and Document branding, then click Save changes.

On the brand’s page, the company name, address, logo and colors you leave blank use the organization’s values. For VAT and customs, the Use the organization’s customs information switch decides: on (the default), the brand uses the organization’s VAT number and customs identifiers; off, it uses only its own. Archive hides a brand but keeps its slug and records. Archived brands still count toward your plan’s limit. Delete only works while nothing belongs to the brand. Archive it otherwise. Team members who are restricted to a brand cannot open this tab. Once you have brands, the brand picker appears at the top of the sidebar. Carriers, sender addresses, shipping rules, API tokens and webhooks can each be given to one brand. See Brands, Create a brand and Carriers.

Pricing plans

Pricing plans is the billing tab. Switch between Monthly and Yearly prices (Save 20% with yearly). The plan cards are Free, Standard, Growth (marked Popular) and Pro. Enterprise is a custom plan arranged with the Zippendo team.

Your current plan shows Current plan and a Manage plan button. Other paid plans show Upgrade or Downgrade. When you are on a paid plan, Free shows Cancel and downgrade. Further down the same tab:
  • Current usage - Shipments this period, and your plan’s limits for team members, carriers, order channels, shipping rules, addresses, API tokens and automations.
  • Overage settings - Allow overage shipments. When it is on, shipments beyond your plan’s included number are billed per shipment. When it is off, shipping pauses at your plan’s limit. You need a payment card to turn it on.
  • Add-ons - Extra carrier, Extra order channel and Zippy.
  • Manage billing - opens the secure Stripe customer portal, where you manage cards, invoices, tax details and billing address.
There is no separate balance of label credits. Your usage is the number of shipments on this tab and in the organization switcher. If you installed Zippendo from the Shopify App Store, you pay through Shopify instead. Enterprise plans are invoiced by the Zippendo team. More: Pricing and billing, Billing and usage.

API tokens

API settings lists the tokens developers use to connect other systems to Zippendo. Click Add API token at the top to create one.

Click Add API token

Name, expiry and permissions

The Create API token window asks for a Token name *, an optional Expires in (days) (up to 365), and Permissions *. Click Select all, or tick the Read and Write permissions the token needs.

Treat the token like a password. If it leaks, delete it here and create a new one. For developers: REST API and API token authentication errors.
If you have brands, you also see Restrict to brand. A token restricted to a brand can only read and write that brand’s data. Keep No brand (organization-wide) for a token that covers the whole organization. The list shows each token’s Name, Token (partly hidden), Permissions, Last used, Created by, Expires and Created. Webhooks, Setups and Addresses

Webhooks sends shipment and order events to another system as they happen. Click Add webhook to add one. See Webhooks and the webhooks quickstart. Setups holds your first setup and one for every market you expand to. Below your setups, the import cards bring your setup across from another shipping platform. Use it when you move to Zippendo. A new organization does not need it. Addresses holds your sender, pickup and return addresses. You need at least one sender address before you can send a shipment. See Sender addresses.

Printers are not in Settings

Label printers are under Printers in the main sidebar.

Printers is its own sidebar item - download Zippendo Printer from here

The cards at the top show Total printers, Active printers, Online now and Pending approval. Download Zippendo Printer offers versions for macOS (Apple Silicon), macOS (Intel) and Windows. To print after you send a shipment, see Labels and printing and Printers.

Scroll to the bottom of the Organization tab. The Danger zone has Delete organization.

Below Branding and Data export, the Danger zone is last, and Delete organization cannot be clicked

The Delete organization button is always grayed out. The text warns that deletion is permanent and asks you to export your data first with Request export. Contact support if you need an organization deleted. See Danger zone. Settings has no notification preferences. Your language and email address belong to your own account, on your profile. See Profile.
