# Shipping rule fields

> Every field on a shipping rule - name, direction, carrier, product, services, countries, documents, printers, returns, hard limits, shipping conditions, and the Condition tester.

A **shipping rule** saves a carrier, product, services, sender address, destination countries and prices in one place. Checkout rates, imported orders and [Apply a shipping rule](https://www.zippendo.com/docs/how-to/apply-a-shipping-rule.md) all use it.

**Shipping rules** is in the main sidebar, not in Settings.

## The list

The page is called **Shipping rules**: **Choose the carrier, product and shipping price for orders and at checkout, based on conditions such as weight and order value.** Click **Add shipping rule** to create one. Your rules are under **All rules**.

With no rules yet, you see **No shipping rules yet** and **Click "Add shipping rule" to create your first one.**

The columns are **Name**, **Carrier**, **Countries** and **Conditions**. Click a row to edit the rule, or use the row menu for **Edit** and **Delete**.

The **Conditions** column sums up each rule, for example **No conditions**, "2 weight conditions" or "1 price condition". If the rule's carrier is no longer connected, **Carrier** says **Unknown**.

### Filter the list

Click **Filters**, set what you want, then click **Add filters**. See [Search and filters](https://www.zippendo.com/docs/how-to/search-and-filters.md).

| **Search** | Type part of a rule name |
| **Carrier** | **All**, or one of your connected carriers |
| **Brand** | Only when you have brands. For the whole organization: **All brands**, **No brand** or one brand. Inside one brand: **All records**, **Only this brand** or **Organization-wide only** |

### Delete a rule

Choose **Delete** in the row menu. The **Delete shipping rule** window says **This permanently deletes the shipping rule "Standard Shipping". You can't undo this.** (with your rule's name). Type the rule name in **capital letters** to confirm. You see **Shipping rule deleted** or **Couldn't delete shipping rule**.

There is **no** on/off switch for a rule and **no** priority order. A saved rule is in use.

## Create or edit a rule

At the top you find **Cancel** (back to the list), **Test** (see **Condition tester** below) and the save button. If a rule cannot be opened, you see **Couldn't load shipping rule. Try again.**

After saving, you go back to the list. If saving fails, a red box says **Couldn't create shipping rule.** or **Couldn't update shipping rule.**, with the reason or **Please check all fields and try again.**

Create shipping rule: name, description, direction, carrier, product and address

### The basics

| Field | Required | What to enter | Message if missing |
| - | - | - | - |
| **Rule name** | Yes | **Give your shipping rule a descriptive name.** For example "Standard Shipping" | **Name is required** |
| **Description** | No | **Optional description for your shipping rule.** | |
| **Direction** | Yes | **Outbound for regular shipments, inbound for returns.** Choose **Outbound** or **Inbound (return)** | |
| **Carrier** | Yes | **Select the carrier for this shipping rule.** | **Carrier is required** |
| **Product** | Yes | **Select a product from the carrier.** Until you pick a carrier, it says **Select a carrier first**. If the carrier has no products for the direction, you see for example **No products available for Inbound (return)** | **Product is required** |
| **Services** | Yes | **Choose optional services for the selected product.** It appears once you pick a product. Search with **Search services…**, remove all with **Clear all**. The field shows how many you picked, for example "2 services selected" | **At least one service is required** |
| **Address** | Yes | **Select the sender address for this rule.** It lists your sender addresses, also on a return rule | **Address is required** |
| **Brand** | No | Only when you have [brands](https://www.zippendo.com/docs/how-to/create-a-brand.md): **This rule only applies to this brand's orders.** | |

If the product has no services, the **Services** field says **No services available for this product**. A search with no result says, for example, **No services found matching "sms"**.

With **Inbound (return)**, **Product** only lists return products. See [Return shipments](https://www.zippendo.com/docs/how-to/inbound-and-returns.md). Product services in detail: [Carrier products and services](https://www.zippendo.com/docs/how-to/carrier-products-and-services.md).

Email and SMS notifications are not set here. The carrier handles them.

### Receiving countries

**The countries this rule ships to. Add them one by one, or use Quick add for a whole region.**

| Control | What it does |
| - | - |
| The country tags | The countries you chose. With none: **No countries added yet**. Long lists end with, for example, "+12 more". A country the product cannot deliver to is marked **Not supported by this product**, with a count such as "2 countries not supported by this product" |
| **Add country** | Type a country name and pick it |
| **Quick add** | Adds a whole region: **EU**, **Nordics**, **Europe**, **North America** or **World** |
| **Clear all** | Removes every country |

At least one country is required (**At least one country is required**).

Document generation, Automatic printing and Return shipping

Click **Configure** on the **Document generation** card to open these switches. They are optional and off to begin with. Click **Done** to keep your changes:

| Switch | What it does |
| - | - |
| **Generate proforma invoice** | **Automatically generate a proforma invoice for international shipments.** |
| **Generate commercial invoice** | **Automatically generate a commercial invoice with exporter and importer details, HS codes and weights.** |
| **Generate packing slip** | **Generate a packing slip with parcel and item details for the shipment.** |

Some carriers make the customs declaration and commercial invoice themselves. For those, the two invoice switches are hidden and the rule says so, for example **PostNord creates the customs declaration and commercial invoice itself and sends them with the label. ### Automatic printing

| Field | What it does |

| **Print labels automatically** | **Automatically print labels when a shipment is sent.** |
| **Label printer** | Appears when **Print labels automatically** is on. **Select the printer to use for labels.** With no printer ready: **No approved label printers available** |
| **Print documents automatically** | **Automatically print documents (invoices, customs declarations) when a shipment is sent.** |
| **Document printer** | Appears when **Print documents automatically** is on. **Select the printer to use for shipping documents.** With no printer ready: **No approved document printers available** |

### Return shipping

| Field | What it does |
| - | - |
| **Return shipping rule** | **Select a shipping rule to use for return shipments.** **None** to begin with. The list shows all your other rules, not only return rules |
| **Create return automatically when the shipment is sent** | Appears once you pick a return rule. **Automatically create and send a return shipment when the outbound shipment is sent.** Setting the rule back to **None** switches it off |

### Hard limits

Click **Configure** on the **Hard limits** card: **If the cart or order is outside these limits, this rule is skipped and the conditions below are not checked.** Click **Done** to keep your limits.

Hard limits: optional minimum and maximum for total weight and order value

| **Total weight** | **Kilograms (kg). Leave blank for no limit.** | **Minimum** and **Maximum** |
| **Order value** | **Same currency as the order. Leave blank for no limit.** | **Minimum** and **Maximum** |

A blank box means no limit. You cannot limit a rule by SKU or by order channel.

### Shipping conditions

The conditions decide whether a cart gets a price from this rule, and how much. **Define when this rule applies. Click a condition to edit it.** With none yet: **No conditions yet. Add a condition to get started.** A rule needs at least one (**At least one condition is required**).

Click **Add condition** and pick **Weight**, **Order value**, **Value range**, **Quantity** or **Flat rate**. Each condition appears as a row with its type, for example **Weight range**, its limits and its price. The bin at the end of the row removes it.

You cannot add a condition on SKU or order channel.

Edit condition: Weight range with minimum and maximum kg, shipping price and currency

Clicking a condition opens **Edit condition 1** (with its number). Click **Save** or **Cancel**. You can change the **Condition type** in the window.

Every type has a **Shipping price** (0 or more, otherwise **Price must be 0 or greater**) and a **Currency** (three letters, otherwise **Currency must be 3 characters**). New conditions start in USD, so pick your own currency.

| **Flat rate** | **Flat rate** | Only the price. **The flat rate applies to every order that matches this rule. No other conditions are needed.** | |

**Price type** (for **Order value** and **Value range**):

| Choice | Meaning |

| **Total (after discounts)** | The default |
| **Subtotal (before discounts)** | The value before discounts |

Note under it: **Conditions on the total are only checked for imported orders, not at Shopify checkout.** Use **Subtotal (before discounts)** for prices at checkout.

**Comparison** for **Order value**: **At least (≥)**, **Greater than (>)**, **At most (≤)**, **Less than (\<)** or **Equal to (=)**. For **Quantity**, the choices are **At least (≥)**, **More than (>)**, **At most (≤)**, **Less than (\<)** and **Exactly (=)**. A new condition starts at **At least (≥)**. A new quantity condition starts at 1 item.

### Extra settings for the product

Some products need extra details, such as a service point or a code the carrier needs. They appear in the **Carrier and product** section below **Services**, one field per setting, with the carrier's description. A field marked \* is required. Which fields you see depends on the product and the services you pick. A product that needs nothing extra shows no extra fields.

## Condition tester

Click **Test** at the top of the form to try your prices without saving.

Enter a sample cart: **Weight (kg)**, **Order value** and **Quantity**. The result updates as you type:

* No conditions yet: **Add conditions above to start testing.**
* No values yet: **Enter cart values above to simulate a customer checkout.**
* Outside the hard limits: **Outside hard limits, so the rule is skipped**, with which limit the cart missed.
* Nothing matches: **No conditions matched** and **This cart would not get a shipping price from this rule. The rule would be skipped entirely.**
* A match: the price, for example "Customer pays: 39 DKK", and **1 condition matched** or, for example, "2 conditions matched (lowest price selected)". **(best)** marks the winning condition.
* Warnings: **Shipping price is 0 (free shipping). Make sure this is intentional.**, and a warning when the matching prices are far apart (the lowest one is used).
